He has great google ranking for his two sites. So good, that they appear at number 1 and number 2 in his area. Patients don’t know they are under the same owner.

Then within thirty seconds, they call his second clinic to ask if anything sooner is available.

He only knows because the phone lines are linked and the same receptionist picks up. The patient has no idea.

A booking isn't the same as a won patient anymore. It is just a place holder.

And that's the polite version. The bigger leak is the patient who hits voicemail and is gone before you ever knew they tried.

What I'd Do This Week

The fix isn't more practitioners. It's making sure your earliest available is sooner. And that starts with where your minutes are actually going inside each appointment.

Pull up one full day of your appointments and track where the minutes actually go. Treatment time. Intake. Note-writing. Idle gaps waiting for the next patient. Most clinic owners are shocked at how much non-treatment time is sitting inside a "30-minute appointment".

Once you can see it, you can chip at it. Block your initial consults together. Capture more intake before patients arrive. Tighten the buffers between sessions.

Five minutes saved per appointment is another slot you can add each day.

He even added lunchtime appointments to his clinics years ago when he noticed his patients couldn't book any other time. As he put it:

"If you're not doing lunchtime appointments, you're out of the game."

Where This Is Going

The patient journey isn't ending at the booking confirmation anymore. It's ending the second they put the phone down.

The clinics that win the next twenty-four months won't be the ones with the most practitioners. They'll be the ones whose response time is measured in seconds, not days.
